Packing and shipping: agree the details early

Plan discreet packaging, documentation and delivery responsibilities before a private sale is finalized.

Check the route before choosing a service

Confirm the destination and ask the carrier whether it accepts the item, dimensions, weight and any included care products. Check import and export requirements with the relevant authorities. Do not describe an item falsely on a customs declaration or mark a sale as a gift to avoid duties. A carrier accepting a parcel does not establish that every destination rule has been satisfied.

Plan protection around the actual item

Use packaging that supports the item without stressing joints, connectors or repaired areas. Protect separate parts from rubbing or shifting. Follow reliable material-specific packing guidance and avoid adhesives or packing materials that may react with the surface. Use a strong outer box with enough cushioning for the journey. Reusing a box is sensible only if its strength and markings remain appropriate.

Keep the outside discreet and accurate

Agree a plain outer package where possible, while supplying truthful information required by the carrier or customs. Remove old labels and unnecessary branding. Do not place personal details on the outside beyond what delivery requires. Consider where the parcel will be received and whether signature, collection or another available service suits both parties.

Agree responsibility in writing

Before payment, confirm packing costs, shipping charges, service level, dispatch timing and tracking. Read the carrier's loss, damage and compensation terms, including exclusions for used goods or insufficient packaging. Agree who will make a claim and what evidence is needed. Do not describe a shipment as insured merely because the service includes a limited compensation provision.

Create a useful dispatch record

Photograph the condition, included parts and packing stages without exposing address labels publicly. Share tracking privately and retain receipts. On arrival, the buyer should check the parcel and document any visible damage promptly under the carrier's procedure. Keep the packaging until the item is checked and any concern is resolved. Communicate promptly and factually if the journey does not go as planned.
